• Business operational data - vehicle inventory records, import documents, landed cost records, supplier information, buyer lead data, appointment records, and sales information entered into the GariSuite platform by your business.
• WhatsApp conversations - buyer conversations processed through the GariSuite AI sales assistant, conducted via the WhatsApp Business API.
• Usage data - information about how you use our platform, including login times, features accessed, and actions taken within the system.
• Technical data - device type, browser type, IP address, and cookies collected automatically when you visit our website.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the GariSuite platform
• Respond to demo requests and onboard new customers
• Power the AI sales assistant with your live inventory data
• Process and display appointment bookings and lead information
• Generate management insights and reports for your business
• Send service-related communications, updates, and support
• Improve our AI models and platform performance
• Comply with applicable laws and regulations in Kenya

We do not sell your data to third parties. We do not use your data to advertise to buyers or competitors in your market.

• Anthropic - our AI technology partner, whose Claude API powers the GariSuite AI sales assistant. Data is processed in accordance with Anthropic's privacy terms.
• WhatsApp Business API providers - to facilitate buyer conversations on your WhatsApp business number.
• Cloud infrastructure providers - for hosting, storage, and data processing.
• Payment processors - M-Pesa and bank payment providers for billing purposes only.
• Legal and regulatory authorities - where required by applicable Kenyan law or court order.

All third-party partners are required to handle data in accordance with appropriate data protection standards.

4. Data Storage and Security

Your data is stored securely on cloud infrastructure with encryption at rest and in transit. We implement access controls, monitoring, and regular security reviews to protect your business data. Buyer conversation data processed through the AI assistant is handled in accordance with WhatsApp Business API terms and applicable data retention requirements.

5. Data Retention

We retain your business data for as long as your account is active. Upon termination of your GariSuite subscription, you may request a full export of your data. We will delete your data within 90 days of a verified deletion request, except where retention is required by law.

6. Buyer Data

When a buyer contacts your business through WhatsApp and GariSuite processes that conversation, the buyer's data is processed as part of your business's use of the platform. As a GariSuite customer, you are responsible for informing your buyers about how their data is used in accordance with applicable consumer protection and privacy laws in Kenya.

7. Your Rights

As a GariSuite customer or user, you have the right to:

• Access the data we hold about your account
• Request correction of inaccurate data
• Request deletion of your data (subject to legal retention requirements)
• Request a copy of your business data in a portable format
• Object to certain uses of your data
